Rodeo Cancellation Insurance

Rodeo Ticket partners with Nicholas Hill Group to offer Adventure Advocates event cancellation insurance to rodeo committees. This event cancellation coverage helps reduce financial stress around canceling rodeo events due to some unforeseen circumstances and makes it easier to cover refunds while also managing your other financial commitments.

When you add event cancellation coverage to your rodeo, it adds an additional 2.5% to the online fee. This insurance fee pays for the event cancellation coverage. If you’re passing the online fee to participants, then you’re getting this coverage for free.

Knowing that you have financial protection if you need to cancel your rodeo unexpectedly helps you confidently spend money on contract personnel, concessions, and other services in preparation for your rodeo. You’ll know that some unforeseeable circumstances will not harm your rodeo’s financial solvency with out-of-pocket refunds.

What’s covered

Only the ticket fee is covered and refunded for rodeos that are canceled for the following reasons:

• Adverse weather – Weather that poses serious threat to attendees, participants, and volunteers setting up the rodeo or makes the venue entirely inaccessible.
• Natural Catastrophe – An earthquake, tsunami, flood, volcanic eruption, hurricane, tornado, forest fire or any other extraordinary meteorological event that causes widespread damage in the area of your rodeo.
• Terrorism – An act or series of acts of violence or force motivated by political, religious, or ideological reasons. Only includes a threat of terrorism if public safety officials issue a written order.

Whether you need to cancel your whole rodeo or just one performance, you can file a claim in the above circumstances.

What’s not covered

Rodeos canceled that fall into the circumstances below are not covered:

• Rodeo started before it was canceled.
• Rodeo was rescheduled within 90 days.
• Rodeo also provides refunds for the same perils listed above in the “What’s covered” section.
• Rodeo was canceled for another reason than listed in the “What’s covered” section.

Note that the fear of a potential act of terrorism, threat of terrorism, and terrorism involving a nuclear, chemical, or biological weapon are also exempt from coverage. Pandemics are also not covered.

Coverage doesn’t include sales tax, processing fees, online service fees, donations, or payment for merchandise. It just covers the ticket fees that you receive from attendees.

Refunds for canceled rodeos

Issuing a single refund or a mass refund through Rodeo Ticket’s software is simple. First, you’ll select what you’re going to refund (ticket fee, sales tax, service fee, processing fee). Then, you’ll issue a refund. 

If you need to issue a mass refund, it’s just as easy. When you cancel your event, you’ll see a button “Issue Refunds”. When you click that button, you’ll select what you’re refunding. You can even select specific event times for your attendees. You’ll see a preview of what the cost of the refund is. Once you’ve verified that information, you can issue the refund.

Remember that you’ll need to verify that you have sufficient funds in your account or have had your event cancellation claim paid out before a refund can be processed.

Regardless of your refund policy, the law may require you to issue refunds. For example, Colorado passed a law requiring events that cancel to provide refunds to participants. Check what regulations apply to you as you review event cancellation protection and your refund policy.
