Not only can you email attendees rodeo details, but you can also use it as a free marketing platform. With Rodeo Ticket you can email all of your attendees you have ever had, and even people who started a form but never finished purchasing tickets. There are many different things to consider when creating an email. Here are a few ideas to keep in mind:
Keep it short and sweet, readers tend to skim over long content.
Accent important details to make them stand out.
Proofread your emails to make sure they have correct spelling and grammar.
Keep the message focused on the subject matter and avoid cramming too many topics into one email.
Be kind and avoid punctuation that may make your tone sound different than intended. (Example, too many exclamation marks may sound different to a reader than a mix of periods and exclamation marks)
While sending an email that contains new rodeo details it may not seem important what time or when you send it. It actually can make the difference between a low open rate and a higher open rate. Weekends are not the best time to send an email because people are generally doing other things, and Mondays may be busy recovering from the weekend. The best days would be the middle of the week Tuesday-Thursday. The best time of day is either in the late morning or afternoon, these are the best times to send emails. People generally check their email at lunch, or after work.
If you have details prior to your event that need to be sent out, you should try to send emails out 3-5 days before. A lot of people tend to open emails fairly quickly after receiving them. Sometimes there are people that may open it days later so if the email is sent too close to the event they may not see it in time.
With important information or marketing, you want the most people to view the email. It is very important to pay attention to when you are sending these emails to have the highest open rate possible.
One very important thing to consider when sending an email is the subject line. The subject line is going to be the thing to grab the reader’s attention. It should be short but able to hold enough information to get the point of the email across. Creating the subject line for an advertisement for the rodeo would be very different from the subject line for updated rodeo information. You should also avoid words like “sell” or anything that may sound to sales oriented because those emails could be directed to spam folders. Make sure the subject line is related to the content of the email and not misleading.
Rodeo Ticket has created a simple process for you when you are ready to send an email. From your Dashboard, under Messaging, there is a “Email Attendees” link. Once you’ve clicked on that it brings you to the creating email page. When you are sending your first email you will be asked to verify your email for the “from address”. After you have done this once it won’t ask you to do it again.
Once that is complete, you can select the status of the attendees you want to email, active or incomplete. Sending an email to those who have yet to complete the purchase may be a good idea if you’re wanting to let them know of any promotions or options they (attendees) have when they buy tickets. Sending an email to active attendees would be the best way to let them know of any changes or details to the rodeo. After selecting which status of attendees you are emailing, you can then choose the recipients. If you have had multiple rodeos over the years you can select any or all of the years you have done. This will email all of the attendees that have purchased tickets that year. You also have the option to exclude any emails that already bought tickets for the current rodeo and sending one per email address.
Next, a rodeo director has the option to personalize the email. You can include a placeholder for the email to automatically fill in the information. For example: {first name} will automatically fill in with the attendees’s first name. This adds a little touch of personalization so an attendee can feel it was directed toward them.
After selecting personalization, you will then enter the subject line followed by the contents of the email. You can choose fonts, font sizes, add images, etc. You can even have an email designed and copy over the html in the source code. Make sure to include all of the details you want to send in the email.
Once the email is completed, it is now ready to send. Rodeo Ticket has a couple of options for you. You can either send the email right away, or schedule it. Scheduling can be very beneficial if you’re wanting to type up the email and get it ready to go but aren’t quite ready to send it if you’re waiting for a prime time to send.
